Supervisor Duties:

Supervise the operations of the front desk to ensure an optimal level of service and hospitality is provided to the guests.

Relay information to shift coming on duty verbally and by using turnover report. Monitor appropriate appearance of front desk area. Maintain departmental supplies.

Resolve issues/problems and coach and counsel the front desk team members to ensure a quality operation. Supervise daily shift process ensuring all team members adhere to standard operating procedures.

Participates in the Manager on Duty Program.

Performs other duties as assigned, requested or deemed necessary by management.

This position will work from the Front Desk.

Front Desk Duties

Check guests in and out of hotel. Process folios and credit cards, using Opera computer PMS. Cash checks and make change. Post charges to guest folios. Balance daily transactions. Act on situations that pose a threat to hotel or guests.

PBX- handle all incoming calls for hotel and guests and various departments. Take and relay messages for department heads, guests, and employees. Receive phone calls from guests to imput In room dining orders.
Accept and enter hotel room reservations. Determine availability of room. Accept information and determine best type of accommodations for guests. Block hotel rooms. Monitor front desk reports on guest reservations.

Concierge Duties:

Assist hotel guests- Receptionist and Cashiering- Answer questions and give directions. Recommend activities and restaurants. Handle complaints. Send and receive faxes, messages, and packages for guests. Properly direct lost and found inquires.

Basic Duties:

To perform all front office duties required for hotel reservation activities. Assure guest satisfaction by carefully handling details and courteous treatment of clientele. Able to fill in as a Guest Service Associate, work PBX, Front Desk and Concierge and Bell Service.

Assist and communicate with other departments. Accept dining reservations when requested. Assist with baggage and guest needs(pillow, towels, etc.) Lend support to other departments as needed.

Group Rooms:

Assist with Group rooms functions to accurately track rooms blocked, picked up, and dropped to ensure contracts are followed and inventory is accurate using binder system. Update software to ensure that pickup is accurately communicated to the sales team so attrition and slippage can be tracked. Provide support setting up blocks, processing payments and closing out folios.

Minimum Qualifications

High school diploma or equivalent and minimum of 1 to 2 years guest service experience required.
Specific qualifications include:
-Computer skills required
-Must present a neat and professional appearance.
-Strong interpersonal skills sufficient, effective and courteous handling of varied clientele.
-Flexible to guest needs.
-Organization, multi-tasking skills as well as excellent interpersonal communication skills.

Preferred Qualifications

In depth knowledge of University polices, procedures and operations is helpful. Office experience and previous switchboard and cashiering experience preferred.
